At Naggar Studio, we understand that plans can change unexpectedly. Our cancellation policy is designed to be fair to both our clients and our studio operations, while ensuring we can maintain high-quality services for all our customers.

This policy applies to all studio bookings, equipment rentals, and related services. Please read this policy carefully before making your reservation.

Cancellation Timeline and Refunds

Refund amounts are based on when you cancel relative to your scheduled booking time:

More than 48 hours before booking

Full Refund (100%)

Complete refund of all payments made, including deposit. No cancellation fees apply.

24-48 hours before booking

Partial Refund (50%)

50% refund of total booking cost. Deposit is non-refundable to cover administrative costs.

Less than 24 hours before booking

No Refund (0%)

No refund available. Full payment is due regardless of attendance due to opportunity cost.

Emergency Cancellations

We understand that genuine emergencies can occur. In documented cases of:

  • Medical emergencies (hospitalization, serious illness)
  • Family emergencies (death in family, urgent family matters)
  • Natural disasters or extreme weather conditions
  • Government-mandated closures or restrictions

We may waive standard cancellation fees at our discretion. Documentation such as medical certificates, death certificates, or official notices may be required. Please contact us immediately in such circumstances.

Studio-Initiated Cancellations

If Naggar Studio must cancel your booking due to circumstances beyond our control, including:

  • Equipment failure or technical difficulties
  • Facility maintenance or safety issues
  • Power outages or infrastructure problems
  • Staff illness or unavailability
  • Force majeure events

You will receive:

  • Full refund of all payments made
  • First priority for rebooking at your convenience
  • Potential compensation for any documented losses (case-by-case basis)

Rescheduling Policy

Rescheduling requests are treated as cancellations followed by new bookings and are subject to the following fees:

Rescheduling Fees:

  • More than 48 hours in advance: No rescheduling fee
  • 24-48 hours in advance: 25% rescheduling fee
  • Less than 24 hours in advance: 50% rescheduling fee

*Rescheduling is subject to availability. New booking rates may apply if prices have changed.

No-Show Policy

Clients who fail to show up for their scheduled booking without any prior communication will be considered a "no-show" and will:

  • Be charged the full booking amount
  • Forfeit all payments made, including deposits
  • Not be eligible for any refunds or credits
  • May be required to pay upfront for future bookings

We recommend contacting us immediately if you're running late or facing unexpected delays.

Multi-Day and Package Bookings

For bookings spanning multiple days or package deals:

  • Cancellation policies apply to the entire booking
  • Partial cancellations may be allowed with advance notice
  • Package discounts may be forfeited if sessions are cancelled
  • Rescheduling individual sessions within packages incurs standard rescheduling fees

Weather-Related Cancellations

For outdoor shoots or weather-dependent sessions:

  • Severe weather warnings allow free rescheduling up to 2 hours before the session
  • Light rain or minor weather conditions do not qualify for free rescheduling
  • Indoor alternatives may be offered when possible
  • Final decisions on weather-related cancellations rest with studio management

Refund Processing

All approved refunds will be processed according to the following timeline:

  • Processing Time: 5-7 business days from approval
  • Payment Method: Refunds issued to original payment method
  • Bank Processing: Additional 3-5 business days depending on your financial institution
  • International Payments: May take up to 10-14 business days

Refund confirmations will be sent via email once processed.

How to Cancel or Reschedule

To cancel or reschedule your booking, please contact us immediately using any of the following methods:

Important: Email confirmations are required for all cancellation requests. Phone cancellations must be followed up with email confirmation within 2 hours.

We recognize that each situation is unique. For circumstances not covered in this policy, please contact our management team. We will review each case individually and work with you to find a fair solution when possible.

Policy Changes

This cancellation policy may be updated from time to time. Changes will be posted on our website and communicated to existing clients. Bookings made before policy changes will be governed by the policy in effect at the time of booking.
